How to plan a Christmas party?

Although Christmas seems to be far away, it is never too early to start planning the Christmas Party. A lot of companies book their venues months in advance so if you don’t want to be left out then you have to start thinking about it now. We hope that the list below will help you to get organised and ready for the Festive Season:

Date, time and venue

When it comes to planning any party, the three things mentioned above are probably the most significant to establish. Make sure you find the right venue within your budget (consider what type of party you want to organise, car park availability and other important features). Choose a date that is close to the 25th of December but doesn’t interfere with your employees individual Christmas plans.

Guest list

Create a guest list to know exactly how many people you are expecting to come and for how many you have to cater for. This will also help you in creating all the invitations later on.

Choose a theme

Winter Wonderland, Caribbean or Vintage party? Maybe you prefer something more traditional? Choosing the right theme can be a bit of a challenge but it can really add something special to the celebration. If you are unsure about what to do, it may be a good idea to get the employees opinion and ask them to fill out a survey to include them in the planning process.

Plan your menu

As you probably noticed we often try to share useful tips and tricks when it comes to event organisation on our blog. However, whether it’s a conference or awards gala, organising an event be quite costly, so we decided to talk about how to do it on a budget.

Location

One of the biggest factors when it comes to the price you pay is definitely location. If you plan to have your event in Central London then this is going to cost you much more than to have one in a smaller town. Prices will also differ from venue to venue so find the greatest and cheapest option to get the best value for money.

The right time

Try to avoid peak times where the price can even double! A party during Christmas and around other important holidays can cost you a fortune. Usually, you can organise everything for less money during quieter periods for corporate events like school holidays or half-term.

The right day

Be flexible on the date you have in mind. Venues will usually cost less on Monday or Friday when there is less demand. If you’re planning a residential event, bear in mind that the accommodation will probably be cheaper just before or after the weekend – on Thursday and Sunday. Get a few quotes to compare the prices and choose the best offer.

Catering

Typically, sourcing catering at the venue should be less expensive than having one from the outside. Places with their own kitchen and a chef are also more likely to offer tailored menu that suits your needs.

Meetings and conferences are an essential part of every business however planning one may take a lot of time. You have to think about all the different aspects: venue, attendees and what topics will be discussed. Our short guide will help you to make sure that the next gathering is a success.

1. Organisation

Firstly, determine all the necessary details, including: the reason for a meeting, list of participants, possible venues, date as well as time. Create an agenda for the day (don’t forget about breaks) and write down what topics will be discussed during the meeting.

2. Find the perfect venue

An ideal venue will suit all your meeting’s needs. Take into consideration the number of attendees and how far it is from your offices.
