Think about size

A business meeting usually requires less space than a training day or awards gala. Make sure you know how many people are going to attend the event and what function room you require. Decide on the type of style and layout you need as well as any decorations.

Think about the location

If your company resides only in one location, it can make your choice easier. The trouble starts when the offices are located all over the UK or globe. Find a place to which everyone can get to easily and quickly. Some of the participants may decide to stay overnight so definitely check what the possibilities for accommodation are.

Do you prefer the event to be held somewhere quiet or in town? What about any other activities? Do you plan to socialise afterwards? These are just a few questions you should ask yourself when thinking about location. Now that you narrowed it down, it’s time to consider the costs.

Think about the budget

You can find the perfect place, however, if it doesn’t fit within your budget you will never be able to book it. Check what is included in the price and whether there are any additional expenses. Some places may seem to cost less but after including all the necessary facilities they turn out to be the most expensive. Make sure that you get the maximum value for money from your chosen venue. Additionally, look at the cancellation policy and deposit fees.

Think about the facilities

When thinking about the budget, consider any additional facilities that you may need. Do you require WiFI? Check whether you have to pay for it. Do you need a projector and screen? Ask if that’s included in the room hire. Ideally, the location should be also fully accessible for disabled staff members or guests.
